About the Device Monitor

To download the Device Monitor you need to access WISEflow.
You will not have access until we reach mid March.

The steps
In the upper right corner, click on the arrow next to your name and choose “Edit profile”

Under “User Profile” go to WISEflow Device Monitor and press download.

You need to scroll down in the window to actually reach the download option for Device Monitor. It is placed below the download option for the Lockdown Browser 

Remember to test the Device monitor to see if it works on your computer.

We advice you to check if your version of the Device Monitor is up to date before your exam.

The Device Monitor is a proctoring software within WISEflow that automatically logs the programs you have running on your computer and takes screenshots throughout your exam. This will ensure that the requirements established for the specific exam form is meet while also ensuring academic integrity.

The data collected is this:

• That you, the examinee, have registered for the exam
• Screenshots that are captured throughout the exam at random intervals
• Applications and processes that are running on your computer (registered continually)

Written exams where the use of aids and helpful tools or services are prohibited, needs to be proctored. A proctored exam basically means that your exam is supervised by someone/something that can verify your identity and maintain academic integrity.

The Device Monitor module is one way of proctoring your exam in WISEflow.

If your exam is proctored with the Device Monitor, you need to access the flow and download the newest version of the Device Monitor before the exam, so it will be all set for the exam.

The Device Monitor must be running during the entire exam period in order for you to be able to hand in your paper.

If Device Monitor has been selected for your exam, you cannot see the assignment until Device Monitor has been started.

The option to open and start the Device Monitor will become active one hour before your exam starts. Select Open Device Monitor.

The Device Monitor collects data from the moment you start the application until you submit your exam assignment.

Remember that you need to activate Device Monitor yourself right before the exam starts. You won’t be able to access your on-site exam until you do so.

As soon as you click ‘submit’, Device Monitor will stop collecting data – even if the application is still running.

When you have handed in your paper, the Device Monitor stops running and you may see what has been recorded from your screen during your exam.

If for some reason WISEflow crashes or is closed during your written exam on premises and you need to re-open the flow, then you are not allowed to access Outlook.

The Device Monitor will still take screen shots, so be aware not to access prohibited webpages or applications.

Instead we advice you beforehand to make a bookmark of WISEflow or find the link to WISEflow via learnIT on the course page.

Please note time of the break down and contact the invigilator. They can also note the time and what happened.

The Device Monitor distinguishes between applications running in the foreground, i.e. actively running on your unit, and background, i.e. running as a background process. 

None the less, we encourage you to check your task manager before the exam to make sure that no prohibited applications are running during the exam. Running a prohibited application on your device during an exam may result in a case of suspected academic misconduct.

We recommend that you access WISEflow using Chrome or Firefox. WISEflow supports the two latest major versions of these browsers.

If you are required to use the Device Monitor for a written exam on premises, and you are using Linux, then you need to use specific versions of Ubuntu.

While we do not recommend using other versions of Ubuntu than described via the link above, it is still allowed. If your system passes the compatibility check at startup, the monitor should function as expected, however it is at your own risk as it might not run as expected during your exam.

The purpose of WiseFlows Device Monitor is to monitor the exam, in order to make sure that no foul play is at hand during the exam, where students could be accessing information or tools that are not allowed during the exam.

As such VM's are not just "not recommended" but also very much disallowed and blocked as much as possible, as it goes against the whole purpose of the Device Monitors function.

No, examiners do not have access to the data collected.

Only SAP will be able to access it for random fraud control or if a suspicion of academic misconduct is raised.

The Device Monitor uses a program called Wayland to capture screenshots. However, Wayland’s built-in privacy features can cause blinking and occasional sounds during the exam, which cannot be disabled.

If this becomes disruptive for students, these effects can be avoided by using the older X11 system instead, as it does not enforce the same privacy restrictions.

The Device Monitor is used in combination with the invigilators who are also present. No examiners have access to the data collected.

UNIwise, the company behind WISEflow, is located in Aarhus, Denmark.

The data is stored securely and confidentially at UNIwise, the Danish company behind WISEflow.

UNIwise is the data processor for both WISEflow and the Device Monitor. 

ITU has a data protection agreement with the company UNIwise, who owns WISEflow.

When the Device Monitor* is running, it will detect different things: 

• The programs you are using 
• The programs running on your computer in general 

Likewise, throughout your exam screenshots will be taken continuously and randomly, keeping track of your actions while you work on your exam.

Risk assessment
Legal has conducted a risk assessment of the overall data processing activities related to the administration of exams and the monitoring of written examinations.

Based on this assessment, Legal has concluded that the processing entails a low risk for the data subject. This assessment is based on the fact that only general personal data are processed in connection with these activities, such as the student’s name and student ID number

Any personal data collected in relation to a check on your computer will be deleted.

To limit personal data collected only active processes and screenshots are monitored and captured. No inactive data like files or pictures on the computer will be processed, nor applications not active while conducting the exam – such as social media.  

For your own comfort please avoid having documents open that are personal and have sensitive information, and only run the applications that are necessary for your exam.

No. Nothing is accessed - only screen shots and the use of apps and sites is logged. Logs are only done, when The Device Monitor is activated during an exam. 

ITU is aware that you have a lot of data, personal information and apps on your computer, and the computers are connected to many applications that can contain personal or sensitive information. None of this information is collected. All social applications like Facebook, Instagram, Discord, etc. are prohibited during exams and sensitive data is therefore neither displayed nor logged. Once your exam is over, you can delete the Device Monitor.

Yes. You can access all screen shots and what else has been logged. The programme activity logged is shared as an pdf file with you.

Students can access the data that have been collected about you and your exam by signing in to WISEflow.

You’ll see a button labelled ‘View screenshots’ on your exam.

The invigilators will never go through the log in WISEflow.

Only SAP will be able to access the collected data.

No, the data will not be shared with UNIwise.

Only a few employees in SAP have access to the collected data. 

However, they can forward any data to others in the study administration, if it is necessary for the processing of the case.
